Abstract

The orderly and structured management of office activities is the cornerstone that determines the smooth running of an organization’s entire operational process, including organizations engaged in the provision of legal services. Reliance on informal communication is no longer considered sufficient to support the smooth flow of work; therefore, a more systematic monitoring system is needed to ensure that every task is completed on time and in a manner that can be accounted for. This article aims to examine the effectiveness of monitoring internal work instructions within the administrative unit of the Rudal & Partners Law Firm as a means of supporting operational order and improving work efficiency. Issues were identified through observation, interviews, and direct involvement in daily operations, and were then analyzed using a cause-and-effect diagram (fishbone diagram) based on the 4M framework (Methods, Manpower, Machine, Materials). The analysis results indicate that the root causes of the main problems stem from the absence of standardized documentation procedures, an imbalance in workload due to a surge in case volume, reliance on a WhatsApp group as a medium for distributing instructions, and inconsistencies in the format of task requests. To determine the priority of interventions, a weighting process was conducted using the problem priority matrix technique based on the parameters of Magnitude, Importance, and Vulnerability divided by Cost (M x I x V)/C. Based on the results of this weighting, the creation of a standardized work instruction monitoring form using a cloud-based spreadsheet (Google Sheets) was selected as the alternative solution with the highest score. The implementation of this digital dashboard has proven to increase workflow transparency, accelerate real-time access to assignment status information, and reduce reliance on inefficient verbal confirmations.
